Who we are and the scope of this policy
LoadFlow Ltd (“LoadFlow”, “we”, “us” or “our”) operates a UK transport technology platform that connects people and businesses posting loads with drivers, fleets and transport companies. This policy explains how we handle personal information when you visit our website, create or use an account, post or bid on a load, complete a delivery, contact us, or use our web and mobile applications.
Our public website
When you contact us or register interest, we may collect your name, business name, email, telephone number, enquiry type and message. We may process IP address, browser, device and server-log information required to deliver, troubleshoot and secure the website. We do not sell this information.
If non-essential analytics or advertising technologies are introduced, we will update our cookie information and provide any consent controls required by law.
LoadFlow web and mobile apps
Depending on your account, role and the features you use, our applications may process:
Account and profile
Name, email, telephone number, address, profile photograph, account type and sign-in information.
Business and verification
Company details and documents supplied to verify a business, transport provider, driver or account.
Driver and fleet
Driver records, vehicle type and registration, operating area, base city and related compliance information.
Loads, bids and jobs
Collection and delivery details, load descriptions, quotations, bids, assignments, messages and job status.
Location and tracking
Where enabled and permission is granted, device or vehicle location during an active delivery, including background updates where device settings allow them.
Delivery evidence
Proof-of-delivery photographs or documents, recipient name and signature, notes, status events and timestamps.
Invoices and administration
Invoice records, amounts, references and payment status used to administer jobs and accounts.
Device, support and security
Push-notification tokens, device and browser information, diagnostics, support messages, audit records and security logs.
Location supports collection, delivery progress, ETA and proof-of-service features—not third-party advertising. You can manage location permissions in device settings, although restricting them may prevent live tracking from working.
Where information comes from
We receive information directly from you, your employer or organisation, other parties to a delivery, devices used with LoadFlow, and records created as a job moves through the platform. We may also receive verification or operational information from service providers and publicly available business sources where lawful.
Why we use personal information
- Create, authenticate and administer accounts.
- Publish loads, receive bids, match delivery parties and manage jobs.
- Provide tracking, notifications, signatures and proof of delivery.
- Verify users, businesses, drivers and vehicles and prevent fraud or misuse.
- Provide support and improve platform reliability.
- Maintain invoices and business records and comply with legal obligations.
- Protect users and establish or defend legal claims.
Our lawful bases
Under UK data protection law, we rely on the basis appropriate to the activity: performance of a contract or steps requested before a contract; our legitimate interests in operating, improving and securing a transport marketplace; compliance with legal obligations; and consent where required, including certain device permissions or optional communications.
Who receives information
Information necessary to arrange and complete a job may be visible to the load poster, assigned driver, fleet or transport company and relevant recipient. We may share information with providers supporting hosting, databases, storage, authentication, mapping, routing, notifications, communications and support. The platform currently uses services including Google Maps and Google Firebase. We may disclose information to advisers, regulators, courts, law enforcement or an organisation involved in a business transfer where lawful.
We do not sell personal information or share precise delivery location for third-party advertising.
International transfers
Some technology providers may process information outside the United Kingdom. Where a restricted transfer occurs, we use an available legal safeguard, such as UK adequacy regulations or approved contractual protections, and assess supplementary protections where required.
How long we keep information
We keep information only for as long as reasonably needed. Retention depends on record type, account activity, delivery and dispute requirements, safety and fraud-prevention needs, and legal, tax or accounting obligations. We then delete or anonymise it where appropriate. Backup copies may remain for a limited period before being overwritten.
Delete your account or request your data
Visit our contact page, choose “Account or data request”, and provide the registered email address and account type. We may ask for information needed to verify your identity.
After verification, we will delete or anonymise information no longer required. Limited records may be retained where required by law or necessary for completed deliveries, financial records, fraud prevention, disputes or legal claims. Removing the mobile app does not itself delete the account.
Security
We use technical and organisational measures intended to protect information, including controlled access, authentication, secure service providers, monitoring and backups. No online system can be guaranteed completely secure, so protect your credentials and contact us promptly about suspected unauthorised activity.
Your UK data protection rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict personal information; object to processing; receive certain information in a portable format; and withdraw consent. You may complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.
Automated decisions
LoadFlow may use rules and ranking to organise loads, bids, alerts or security checks. We do not currently make decisions based solely on automated processing that produce legal or similarly significant effects on individuals. If this changes, we will provide the required information and safeguards.
Children, changes and contact
LoadFlow is a business transport service and is not intended for children. We may update this policy as the platform, providers or law changes. Privacy enquiries can be submitted through our contact page.
Before public launch, add the confirmed company number, registered office and dedicated privacy email, and validate the retention schedule and service-provider list. This operational draft should receive UK legal review before launch.
